How to Book a Drone Show: Avoid the Headaches

How to Book a Drone Show: Avoid the Headaches

How Far in Advance Should You Book a Drone Light Show?

One of the first questions event planners ask is how far in advance they need to book a drone light show. The answer depends on several factors including the complexity of the show, the time of year, the venue location, and whether your date falls during peak drone show season. Getting the timing right ensures you have the best selection of dates, adequate time for custom design, and smooth FAA coordination.
The general recommendation is to begin the booking process at least six to eight weeks before your event date. This timeline provides comfortable margins for custom animation design, FAA airspace authorization, site evaluation, and logistics planning. However, this is a minimum timeline, and earlier booking is almost always better, especially for dates during peak seasons.
Peak season for drone shows runs from Memorial Day through Labor Day, with particular demand around the Fourth of July and Labor Day weekends. December and New Year’s Eve are also high-demand periods. During these peak windows, the best providers are often fully booked three to six months in advance. If your event falls during these periods, reaching out as early as possible dramatically improves your chances of securing your preferred date.

What Happens During the Planning Window

Once you book a drone show, several parallel workstreams begin. The animation design team starts creating custom choreography based on your event theme, brand assets, and creative direction. The operations team evaluates the venue, identifying launch and audience locations, assessing any airspace challenges, and beginning the FAA coordination process.
FAA airspace authorization typically takes two to four weeks, depending on the complexity of the airspace near your venue. Events near airports, military installations, or in busy flight corridors may require additional coordination time. The site evaluation also identifies any logistical needs such as power access, equipment staging areas, and coordination with venue management.

Rush Timeline Options

While we always recommend the longest lead time possible, we understand that events sometimes come together quickly. Rush timelines of three to four weeks are sometimes possible for straightforward venues with uncomplicated airspace. The limiting factors are usually FAA authorization and animation design complexity rather than operational logistics.
If you are in the early stages of event planning and considering a drone show, the best time to reach out is now. An initial consultation costs nothing and locks in your preferred date while you finalize other event details. Book a consultation and we will help you build a realistic timeline for your event.
